At the University of Luxembourg, we recognize the importance of addressing students by the name that reflects their identity. We are pleased to introduce the Preferred Name Option, allowing students to be known by a first name that differs from their legal name in most university contexts.

Who can use a preferred name?
Any student enrolled at the University of Luxembourg can request to use a preferred name. Whether you are transitioning to a new name, want to be known by a middle name or a nickname, or simply wish to change the way your name is represented, this option is available to you. Asking the use of the preferred name does not require any justification.

Where will my preferred name be used?
Your preferred name will appear in many key university systems, including:
- Welcome screen on Uni.lu computers
- Outlook / MS Office
- Email address
- Office 365 interfaces
- MS Teams, if applicable
- Student life cycle application (ACME)
- Student card
- Student portal
- Course registration lists
- Exam registration lists
- Graduation ceremony participation ticket
- Learning Module System (Moodle)
- Ticketing service (servicenow)
- Mobility (MoveOn)
- All lists (course registrations, exam registrations, graduation ceremony registrations)
- Student portal (teacher module)
Please note that your legal name will still be used in official university documents, such as:
- Internship agreements
- Mobility contracts
- Lease agreements
- Study grants
- Invoices (application fees, tuition fees, rents, penalties, deposits, etc.)
- Lease contract (Planon housing)
- Restopolis
- Orbi
- Library
- Matrix (access management)

How to set your preferred name
The request to change the preferred first name can be made either at the time of registration or at any time during the year raising a ticket with SEVE.
To ensure the smooth running of the graduation ceremony, preferred first name requests will no longer be accepted once the certificate of completion is issued. Changes will take effect across most systems within 24-48 hours. Please allow up to one week for all systems to reflect the update.
Currently, only Bachelor and Master students can request a preferred name.

FAQ
Yes, with some exceptions. Names that are deemed inappropriate, offensive, or used for the purpose of misrepresentation will not be accepted. The university reserves the right to deny a preferred name if it does not align with these guidelines.
No, your legal name will continue to be used for all official documentation, such as diplomas, financial records, and legal correspondence.
After submitting your preferred name, you will receive an updated student ID card.
Yes, you can change your preferred name if necessary. However, frequent changes may cause delays in updates across university systems.
Your preferred name will be shared with university staff and faculty in relevant contexts, such as course rosters and email systems.
